Privacy Policy
Last updated: September 15, 2026
1. Introduction
Syllab ("Syllab," "we," "us," or "our") is an academic planning application that helps college students organize their syllabi into a cohesive semester schedule, assignment tracker, and daily work plan. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
By creating an account or using Syllab, you agree to the practices described in this Privacy Policy. If you do not agree, you should not use the service.
2. Information We Collect
We collect information in the following categories:
- Information you provide directly (account details, academic content, uploaded files).
- Academic and course information you enter or upload.
- Information collected automatically when you use the service (technical data).
- Information from optional integrations you choose to connect (LMS, payment provider).
3. Information You Provide
When you create an account, you provide your email address and a password. Your password is handled by our authentication provider and is not stored in plain text. If you sign up using Google, we receive the email address and basic profile information that Google shares with us.
You may also provide optional profile preferences, such as a display name, theme selection, and a custom wallpaper image that you choose to upload.
4. Academic / Course Information
To provide the core functionality of Syllab, you may enter or upload academic information, including:
- Course names, course codes, and instructor information
- Syllabus content and course schedules
- Assignment names, due dates, and descriptions
- Notes you choose to write
- Uploaded course files and study materials
- Quiz and flashcard content generated from your files
- Calendar and task information
- Any other information you choose to enter
This information is processed to provide the application's functionality, including extracting academic deliverables from syllabi, organizing assignments, generating calendars and daily tasks, helping organize course materials, generating AI study materials such as flashcards and quizzes where applicable, and synchronizing information through supported integrations.
We do not sell your academic information. It is used solely to provide the service to you.
5. Uploaded Syllabi and Course Files
When you upload a syllabus or course file (such as a PDF, Word document, or image), Syllab processes the file to extract text and identify academic items such as assignments, exams, and important course policies. Uploaded files are stored so you can review and manage them within the app.
For Word document (.docx) files, the text is extracted server-side directly from the file so that the content is accurately represented. For PDFs and images, the content may be processed by an AI service to transcribe and extract information.
6. AI Processing
Some of the content you provide may be processed by third-party AI service providers in order to provide features such as:
- Syllabus extraction — identifying assignments, exams, readings, and deadlines from uploaded documents.
- AI Assistant — answering questions about your assignments and schedule using your data.
- Study material generation — creating flashcards and quizzes from your course files.
- Daily work recommendations — suggesting what to focus on based on your upcoming deadlines.
AI-generated results can contain errors. You should review important information before relying on it. For example, syllabus extraction is intended to identify assignments, deadlines, requirements, and other information, but you remain responsible for verifying important academic information against your official course materials.
We do not claim that AI is always accurate. AI is used as an organizational and study aid, not as an authoritative source of academic information.
Your uploaded content is not used to train AI models. AI processing is used to provide features to you, not to improve the underlying AI models.
7. LMS Integrations
Syllab offers optional integrations with learning management systems (LMS), including Canvas and Brightspace. These integrations are available to subscribers and are entirely optional — you choose whether to connect an LMS.
When you connect an LMS:
- For Canvas, Syllab requests permission to view your course list and the assignments within those courses. This is used to import and synchronize assignment information.
- For Brightspace, Syllab requests access to your enrollment information to identify your courses.
OAuth tokens used to access your LMS are stored securely on the server side and are never exposed to the browser. Information retrieved from the LMS is used to provide course organization and synchronization features.
You can disconnect an LMS integration at any time from the Connect School page. Disconnecting stops future synchronization. Previously imported assignment data remains in your account so you do not lose your organized schedule, subject to reasonable retention requirements.
We do not access your LMS grades, messages, or files unless the integration explicitly requests those permissions, which it currently does not.
8. Calendar Integrations
Syllab includes a built-in calendar that displays your assignments and deadlines in month and week views. This is an in-app calendar — it is not a synchronization with Google Calendar, Apple Calendar, or any other external calendar service.
External calendar synchronization is not currently available. If we add such a feature in the future, we will update this policy to describe what information is accessed.
9. Account Information
Your account information includes your email address, role (user or admin), subscription status, and any profile preferences you set (such as theme and wallpaper). This information is used to operate your account, display your subscription status, and personalize your experience.
10. Payment and Subscription Information
Syllab offers paid subscriptions at $4.99/month or $39.99/year. Payments are processed by our third-party payment processor, Wix Payments (presented to users as "Base44 Payments").
When you subscribe, the payment processor handles your payment details directly on their checkout page. Syllab does not collect or store your full payment card information. We receive a notification from the payment processor when a payment succeeds, along with your email address and the plan you purchased, so we can activate your subscription.
We store a record of your purchase (including the checkout session identifier, plan, amount, and subscription status) for order management and support purposes.
11. Bug Reports and Support Requests
If you submit a bug report through the in-app "Report a Bug" feature, we may collect:
- Bug title and description
- Category and severity
- Steps to reproduce, expected behavior, and actual behavior
- An optional screenshot upload
- The current app page you were on
- Browser and device information where technically available
- App version information where available
- Your account identifier and email
- The date and time of submission
This information is used to investigate bugs, improve the application, provide support, and maintain security and reliability. We do not collect unnecessary information through the bug report form.
12. Automatically Collected Technical Information
When you use Syllab, our hosting platform and infrastructure providers automatically collect certain technical information, such as your IP address, browser type, device information, and usage logs. This information is used to operate, secure, and maintain the service.
We do not use a separate analytics provider to track your behavior across the app. Basic service-level operational data may be collected by the underlying platform to keep the service running.
13. How We Use Information
We use the information we collect to:
- Provide, operate, and maintain the Syllab service
- Process your syllabi and course files to extract academic information
- Generate AI-powered features such as study materials, recommendations, and the AI Assistant
- Organize your assignments, calendar, and daily tasks
- Process subscriptions and manage your access
- Synchronize with LMS integrations you choose to connect
- Investigate and resolve bug reports and support requests
- Communicate with you about your account and the service
- Secure, monitor, and improve the service
- Comply with legal obligations
14. How We Share Information
We do not sell your personal information or academic content. We share information only as described in this policy:
- With third-party service providers that help us operate the service (see below).
- To process payments and activate subscriptions.
- To provide AI-powered features through our AI providers.
- When you connect an LMS, to retrieve your course and assignment information.
- When required by law, legal process, or to protect our rights and safety.
We do not share your information for advertising purposes or with data brokers.
15. Third-Party Service Providers
We use third-party services to operate Syllab. These providers may process information on our behalf as described in their own policies:
- Hosting, database, and authentication: The platform that Syllab is built on provides hosting, data storage, and user authentication (including email verification and Google sign-in).
- Payment processing: Wix Payments (Base44 Payments) processes subscription payments.
- AI providers: Third-party AI models process syllabus text, course file content, and assignment data to provide extraction, study materials, and assistant features.
- LMS providers: Canvas and Brightspace, when you choose to connect them.
16. AI Providers / AI Processing
When Syllab uses AI to process your content (for example, extracting assignments from a syllabus or generating flashcards), the relevant text or file content is sent to a third-party AI provider that processes it and returns results. The AI provider receives the content needed to perform the specific task.
AI providers are instructed to process your content only to provide the requested feature. Your content is not used to train their models.
17. Payment Processing
Payment information is processed directly by Wix Payments (Base44 Payments) on their secure checkout page. Syllab does not receive or store your payment card number, CVV, or other raw payment card details. We store a record of the transaction (such as the plan, amount, and subscription status) for account management purposes.
18. LMS Data
When you connect Canvas or Brightspace, Syllab retrieves course and assignment information from your LMS account using an OAuth token. This data is used to populate and synchronize your assignments within Syllab. The OAuth token is stored securely on the server and is not shared with other users.
LMS synchronization is on-demand — Syllab retrieves new information only when you manually trigger a sync, not in real time. You can disconnect the integration at any time to revoke access.
19. Data Security
We take reasonable measures to protect your information, including using secure server-side storage for sensitive data such as LMS tokens, enforcing per-user data isolation so that one user cannot access another user's academic data, and processing payments through a PCI-compliant payment provider.
However, no method of transmission or storage is completely secure. We cannot guarantee absolute security, but we work to protect your information using reasonable technical and organizational safeguards.
20. Data Retention
We retain your information for as long as your account is active or as reasonably necessary to provide the service to you. If you delete your account, we will remove your academic data (courses, assignments, syllabi, notes, etc.) associated with your account.
Certain information may be retained for a longer period as reasonably necessary to comply with legal obligations, resolve disputes, enforce our agreements, maintain security, and for legitimate business purposes. This may include retaining records of transactions, bug reports, and security logs.
We do not promise immediate deletion of every backup or log, as some data may persist in backups for a limited period before being permanently removed.
21. User Data Rights
Depending on your jurisdiction and applicable law, you may have certain rights regarding your personal information, which may include:
- Access: Request a copy of the personal information we hold about you.
- Correction: Request correction of inaccurate information.
- Deletion: Request deletion of your account and associated data.
- Data portability: Request your information in a structured, machine-readable format.
- Objection or restriction: Object to or restrict certain processing of your information, where applicable.
- Withdrawal of consent: Withdraw consent for processing that relies on consent, where applicable.
Not all rights apply to all users in all jurisdictions. To exercise your rights, contact us at [PRIVACY EMAIL]. We will respond in accordance with applicable law.
22. Account Deletion
You can delete your account by contacting us at [PRIVACY EMAIL]. When you request account deletion, we will remove your personal information and academic data associated with your account, including your courses, assignments, syllabi, notes, and uploaded files.
Certain information may need to be retained as described in the Data Retention section above — for example, records of transactions for legal or accounting purposes, or security logs needed to protect the service.
23. Children's Privacy
Syllab is intended for college students and other adult learners. The service is not intended for children under 13 years of age, and we do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, please contact us at [PRIVACY EMAIL] so we can delete it.
24. International Users
Syllab is available to users in various countries. If you access the service from outside the region where our infrastructure is hosted, your information may be transferred to and processed in that region. By using Syllab, you consent to such transfers in accordance with this Privacy Policy.
Users in jurisdictions with specific data protection laws (such as the GDPR in the European Economic Area or the CCPA in California) may have additional rights as described in the User Data Rights section.
25. Cookies / Analytics
Syllab uses essential cookies and similar technologies to maintain your login session and keep the application functioning. We do not use advertising cookies or cross-site tracking cookies.
We do not use a separate third-party analytics provider to track your usage behavior across the application. The underlying platform may collect basic service-level operational data necessary to keep the service running and secure.
26. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will provide notice within the app or by other reasonable means. The "Last updated" date at the top of this page reflects when the policy was last revised.
Your continued use of Syllab after a change takes effect constitutes your acceptance of the updated policy.
